Policy Enforcement Notification
All SARA caregivers must clock-in and clock-out of their cases on HHA Exchange. Legally, it is required to prove that the caregiver has been with the patient during designated time periods.
We know how hard our SARAs work and the agency appreciates all you do for our clients.
Clocking-in and clocking-out makes sure you are correctly compensated for your hours. It also reassures us that you have arrived safely at the client’s home and that the client is safe as well because a reliable, competent caregiver is in with them.
Important Message from HR Compliance
It has come to our attention that multiple caregivers are clocking in and out from areas other than the client’s home. This is considered insurance fraud and a violation of company policy. Any SARA that clocks in and out from another area other than the client’s home will be terminated ineligible to be rehired.
All SARA Caregivers must read the following letter from the DPS.

Dear Caregivers,
This letter serves as a formal notice regarding an important operational policy. Sara Home Care Agency has repeatedly communicated the requirement that all Home Health Aides, Personal Care Aides, and Companions must clock in on time and clock out using the appropriate duty/task codes for each scheduled shift. Despite multiple reminders, we continue to observe noncompliance with this essential regulation.
As a result, effective April 22, 2025, the following policy will be enforced:
- ~ Any caregiver who fails to clock in on time and/or clock out with the correct duty/task codes will forfeit the privilege of direct deposit for that pay period.
- ~ The caregiver’s paycheck must be picked up in person at the agency’s Valley Stream office between 2:00 PM and 4:00 PM on payday or the next business day.
- ~ Only the caregiver may pick up their check. No exceptions will be made for third-party pickup.
- ~ Sara Home Care Agency is not responsible for any personal or financial inconvenience this may cause.
- ~ Under no circumstances will the Staffing Coordinator or any other agency staff clock in/out or enter duty/task codes on behalf of any aide.
This policy is being implemented to ensure accountability and maintain the integrity of our operational standards. Failure to comply will also continue to affect performance evaluations and future promotional opportunities.
