Time and Attendance Recording

Sara Companions Home Care complies with all federal and New York State EVV requirements.

We have an Electronic Visit Verification (EVV) telephony system for caregivers, where you will clock in upon arriving to patient’s home, clock out, and enter a minimum of three (3) of the tasks/duties completed during your shift.

Policy Overview

  • ~ HHAs MUST use the agency-approved EVV system for ALL visits
  • * Clock-in and clock-out must occur at the patient’s location
  • ~ Services documented must match the Plan of Care

Prohibited Actions

  • * Clocking in or out outside the patient’s home
  • ~ Allowing another individual to record EVV on your behalf
  • ~ Falsifying time, tasks, or visit data

Failure to comply with EVV requirements may result in disciplinary action and potential referral to regulatory authorities.

Each caregiver will receive his or her own Assignment ID that will be used to identify you in the EVV telephony system. Use that Assignment ID to clock in and out every time you work. Please note that you are the only person authorized to use your Assignment ID to clock in and out.

Giving your Assignment ID to someone else to clock in and out for you OR using another caregiver’s id to clock them in and out is considered to be FRAUD and is grounds for termination.

If   you   have   problems   or   you   are   unable   to   clock   in   or   out,   you   must   call   the   agency.

No clock in or clock out or with tasks/duties not matching the patients’ plan of care can result in you not getting paid.

  • ~ A VERBAL WARNING will be issued for the first occurrence for employees who do not clock in or clock out with duties.  This will be retained in the employee’s records.
  • ~ A WRITTEN WARNING will be issued for the second occurrence for employees who do not clock in or clock out with duties.  This will be retained in the employee’s records.
  • ~ A 2-WEEK UNPAID SUSPENSION will result for the third occurrence for employees who do not clock in or clock out with duties.  This will be retained in the employee’s records.

An instruction sheet is included with your orientation packet, and we will explain and demonstrate the EVV telephony system in detail. The information received from the EVV telephony system will be compared to your assigned schedule and the patient’s care plan for accuracy. Inaccuracies can delay your pay.

Your Pay

Payday is every Friday. Caregivers are paid only for the direct time spent with a client. We do not pay for the time it takes to travel between clients nor do we reimburse for travel to a client’s home unless approved by the Administrator or CEO.

Please note that pay rates are based upon the client contract with whom you are working. Raises are considered annually and are given based on quality of care as attested to by the comments of clients and coordinators, supervision from nurse, willingness to cooperate in accepting assignments to the best of your ability, quantity of hours worked, and compliance with company policies.

We do not reimburse for travel between your home and that of the client.

DO NOT DISCUSS PAYROLL ISSUES WITH YOUR CLIENT OR THE CLIENT’S FAMILY.

If you have any questions about your pay and its accuracy, please call the office and speak with the Payroll Coordinator so that we may promptly correct any errors.

Direct deposit is required for all caregivers.

– A voided check or printout of your account information from your bank is necessary to initiate the process.

Holidays (applies to all caregiver levels)

If an employee is scheduled to work on one of the below observed holidays, he/she will be paid time and one half for these holidays. Paid holidays Include:

~ New Year’s Day*

~ Memorial Day

~ Independence Day

~ Labor Day

~ Thanksgiving Day

~ Christmas Day*                                

*Christmas Eve and New Year’s Eve are not holidays

Time Away from Work Pay Policies

Approval for any time off must be requested at least three (3) weeks in advance. Because the needs of the agency and its clients must come first, there may be occasions when time off is denied.

Please note, SARA Companion Home Care Services at its option, may change, delete, suspend or discontinue parts or the Pay Practice Policy in its entirety, at any time without prior notice. In the event of a program change, employees will be notified. Any such action shall apply to existing as well as to future employees on the date the action becomes effective.
